Privacy Policy
Version 2.0. Last updated 6 October 2026.
Summary
We collect only what we need to answer you, send your snapshot and do your work. We use Google and Meta tools on our website to measure visits and ads. Some of our providers are overseas, mainly in the United States. We don't sell your information. You can ask to see, correct or delete it, and you can complain to us or to the Office of the Australian Information Commissioner (OAIC).
1. Who we are
MaxBiz.co Pty Ltd (ABN 42 677 044 594), trading as MaxBiz, 1a Coburg St, Coburg VIC 3058 ("we", "us"). Privacy contact: Abraham Briceño, info@maxbiz.co, 03 8692 4716. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth) as best practice.
2. What we collect
Your name, email, phone number, suburb and trade or profession; your business name and website; what you write in messages and forms; booking details; billing details if you become a client; information about your business and customers that you give us for a project; and website usage data (IP address, device and browser, pages viewed, links clicked, and cookie or pixel IDs). We don't ask for sensitive information, such as health details, except as described in section 11.
3. How we collect and store it
We collect information from you through our snapshot and contact forms, our booking calendar, email, phone and meetings. We collect usage data automatically through Google and Meta website tools (see section 6). To prepare a snapshot, we look at public information about your business and competitors, such as search results, maps and business listings. We store information in Google Workspace (email and files), on our website (hosted by Hostinger), in HighLevel/LeadConnector (bookings and contacts), and in Xero (accounting).
4. Why we use it
We use your information to reply to you and book calls; to prepare and send the free snapshot you ask for; to quote for, deliver and invoice our work; to run and secure our website; to measure which pages and ads work; and to meet legal duties such as keeping tax records. We don't use it for unrelated purposes unless you agree or the law requires or allows it.
5. Marketing
We don't send newsletters or marketing you didn't ask for. If you ask to hear from us, or you are a client, we may email you about relevant services. Every marketing email has an unsubscribe link, and you can also opt out by emailing info@maxbiz.co. We act on opt-outs within 5 business days. We don't sell or rent your details.
6. Cookies and analytics
Our website uses Google tag / Google Analytics, to count visits and see which calls, emails and form submissions come from our site, and Meta Pixel, to measure our Facebook and Instagram ads. These tools set cookies and send your IP address, device data and the pages you view to Google and Meta, which may link it to your accounts with them. We do not upload customer lists to Google or Meta. You can block or delete cookies in your browser, use Google's Analytics opt-out browser add-on, and change your ad settings in your Google and Meta accounts.
7. Who we share it with
We share personal information only with: service providers who help us run the business (Google, Hostinger, HighLevel/LeadConnector, Meta, OpenAI, Anthropic, Xero); contractors working on your project, under confidentiality terms; and government or others where the law requires it. We do not sell personal information.
8. Overseas
Some of our service providers store or process information outside Australia, mainly in the United States. Our website is hosted by Hostinger in the United States. We use established providers and rely on their contracts and security commitments to protect your information.
9. AI and automated decisions
We use software, including AI tools, to help with our work, for example to research search results and draft your snapshot report. A person reviews the output before it is sent. We do not use computer programs to make decisions that could significantly affect your rights or interests, such as whether to offer you a service or on what terms. If that changes, we will update this section to describe the kinds of personal information used and the kinds of decisions involved.
10. Work we do for clients
When we build or run systems for a client (for example an AI receptionist or booking automation), we handle their customers' information on the client's behalf, under our agreement with them, and only to provide the service. The client's own privacy policy explains how the client uses that information.
11. Health information (AI receptionist for health practices)
If we run an AI receptionist for a medical, dental or allied health practice, callers may give booking details that include health information. We collect only what the booking needs. We store it only where the practice has approved, limit who can see it, and handle it in line with the Health Privacy Principles in the Health Records Act 2001 (Vic). The AI receptionist never gives health advice, and urgent or clinical calls go straight to a person.
12. Staying anonymous
You can browse our site and ask general questions without giving your name. We need a working email to send you a snapshot, and your real details to quote for or do work for you.
13. Security
We protect information with two-factor sign-in on our business accounts, access limited to people who need it, encrypted (HTTPS) connections on our website, and reputable cloud providers. If a data breach is likely to cause you serious harm, we will tell you and do what the law requires.
14. How long we keep it
We keep enquiry and snapshot information for 24 months after our last contact. We keep client records for 7 years, as tax and company record-keeping laws require. We keep website analytics data for 14 months. After that, we delete it or de-identify it.
15. Access, correction and deletion
You can ask to see the personal information we hold about you, or ask us to correct or delete it. Email info@maxbiz.co or call 03 8692 4716. We'll check your identity and reply within 30 days, free of charge. If we refuse (for example because the law allows or requires it), we'll tell you why in writing and how to complain. If we won't correct something, you can ask us to attach a note saying you think it is wrong.
16. Complaints
If you think we've mishandled your personal information, email info@maxbiz.co with "Privacy complaint" in the subject. We'll acknowledge it within 5 business days and aim to resolve it within 30 days. If you're not happy with our response, or you don't hear from us within 30 days, you can complain to the OAIC: www.oaic.gov.au, 1300 363 992, GPO Box 5288 Sydney NSW 2001. For complaints about health information, you can also contact the Victorian Health Complaints Commissioner.
17. Children
Our services are for businesses. We don't knowingly collect information from children under 18. If you think a child has given us information, contact us and we will delete it.
18. Other websites
Our site links to other websites, including our booking calendar, which is provided by HighLevel. Their own privacy policies apply.
19. Changes to this policy
We review this policy at least once a year and whenever our practices change. We post each new version here with its date. If a change significantly affects information you have already given us, we will tell you directly.
